Some time ago we were approached by the Czech Beekeepers Union (Český svaz včelařů), because the organisation had been struggling with its members' e-mail mailboxes for quite a while. The mailbox administrator was unable to filter out unsolicited mail, known as spam. Members' mailboxes were filling up with unsolicited mail, and at the same time the members' outgoing e-mails were being marked as spam by other providers.
For an organisation with 50 thousand members, flawless communication is absolutely essential. Until recently, the most reliable means of communication for the union was a traditional letter in an envelope, but that comes at considerable cost.
We introduced the beekeepers to the Google for Nonprofits solution, which includes a Google mailbox for every user. Not only does Gmail have the best anti-spam filters in the world, it also comes with many other services that make communication easier for the beekeepers. And, as a non-profit organisation, the beekeepers' union gets Google for Nonprofits completely free of charge.
The union started using not only the mailboxes mentioned above, but also shared documents for the minutes of its meetings. Everyone involved can see what is being written in the document and can respond to it directly using the comments feature – or assign a task straight to the group that will be responsible for it. Members of the selected group receive a notification about the task directly in their mailbox.
They say “You can't teach an old dog new tricks.” In this case the saying was thoroughly disproved. The esteemed gentlemen and lady beekeepers use all the advanced features of the Google for Nonprofits package, from advanced search to shared calendars, video calls and many other handy extras.
